Data Protection Acts – collection and use of personal information
This statement outlines our policy regarding individuals who provide us with information (which may include personal and sensitive data) in relation to employment with Allianz plc. Included in this statement are the details of how we manage and process your personal information. Allianz p.l.c (“we”, “us”, “our”) Allianz House, Elmpark, Merrion Road, Dublin 4. D04 Y6Y6 will be the Data Controller in respect of all applicant information provided in the course of recruitment and employment.
As part of our recruitment process we will gather information as provided by you in person or to an Employment Agency, on your application form and / or curriculum vitae. The application process may be either electronic or in paper format. We only require data that is necessary for the recruitment process and to ensure that we satisfy our legal and regulatory obligations.
We will also collect information about you such as your professional experience, educational qualifications and membership of professional associations. This is to ensure that you satisfy, where required the Regulatory requirements that may be relevant for the role. If we need to collect information regarding references, we will not approach any referees without your prior knowledge and permission.
Applicant data will be used only for recruitment and employment purposes i.e. performance of any employment contract and will not be used for any other purpose. We may undertake checks against publicly available information such as electoral roll, court judgements, bankruptcy or repossessions.
The types of data that may be processed for the performance of this contract may include, but are not limited to, your name, address, PPSN / National Insurance Number, Bank Details, date of birth, nationality (to demonstrate eligibility to work in Ireland), professional qualifications, where required (to demonstrate competency to perform a role). The purpose of this processing is to fulfil the obligations under this contract and enable us to calculate your remuneration and benefits and maintain records on attendance, health, satisfy Statutory and Regulatory requirements, discipline and grievances if applicable and other such records as required.
We may share your information (which may include personal or sensitive category data) in accordance with the performance of a contract of employment. We will use and share certain personal data for legitimate business interests. The following processing activities are used for this legal purpose as they are key governance functions to protect the business;

Further we may share your personal data with members of the Allianz Group, and with recognised trade, governing, and regulatory bodies (of which Allianz are a member or by which We are governed). We may also share your information for employment purposes with a number of 3rd Parties. The 3rd Parties may include those associated with payroll provision, pensions administration (including critical illness cover), healthcare, occupational health advisors, Professional Services Advisors, IT Support and Management Development Consultants.
Your data may also be processed for legitimate interests such as organisational structure reviews, performance management processes (which may include Leadership Development Capability programmes), where required and team interaction initiatives.
Your role and salary information may at times be disclosed to 3rd parties for salary survey purposes, however your personal details will not be provided.
We may need to collect sensitive data relating to you (such as medical or health record or condition, etc.) The purpose for collecting and processing of such data is to ensure that we fully comply with our regulatory, legal and contractual obligations.
If you provide information about someone else, such as next-of-kin details we will endeavour to provide this Privacy Statement to them. Where it is not possible to do so, you must make them aware of this Statement and the terms of which their personal data is processed and retained.
We will keep your personal data only for as long as it is required for the performance of your employment contract and to comply with our legal and regulatory obligations as documented in our Records Management Policy.
Your personal data may be processed both within and outside of the European Economic Area. Please note that countries have different laws governing the protection of your personal data. If your personal data is transferred from your country of residence to another country, the laws and rules that protect your personal data in the country to which your information is transferred may offer a different (or lower) level of protection than that of the country in which you work. We will ensure that the recipient of the personal data provides for an adequate level of data protection. The Allianz Group companies have, vis-à-vis one another, already adopted or will be adopting adherence to high standards in respect of the disclosure of HR data in a binding manner. Personal data will be transferred to an Allianz company outside of the EU or the European Economic Area based on the binding internal data-protection requirements (Binding Corporate Rules - BCR), which have been approved by the Bavarian Federal State Office for Data Protection Supervision [Bayerisches Landesamt für Datenschutzaufsicht, BayLDA] for the Allianz Group. Should we transfer personal data to service providers outside of the European Economic Area, or EU such data transfer shall take place only to the extent that the European Commission has attested to an adequate level of data protection for this third country, or on the basis of standard contractual clauses for data transmission which have been issued and/or approved by the European Commission. We utilise standard contractual clauses approved by the European Commission for data transfers from the EU to the identified country for example India for the purpose of performance of recruitment activity or the performance of the employment contract. Your rights in relation to your personal data
You have the right to request a copy of your personal data, and to have incorrect data about you corrected. You also have the right to withdraw your consent for the processing of your personal data, have your personal data erased, or your personal data restricted. Please note that withdrawing consent and requests for restriction / erasure may affect our ability to perform your contract of employment. Some of the above rights are subject to limitations in order for us to comply with a number of legal and regulatory obligations. You have the right to data portability. You also have the right to lodge a complaint with the Data Protection Commissioner.
